Use case

The same review documents, every year, without the chasing.

For financial advisors: a yearly workflow sends each client their review list weeks before the meeting, and reminders chase what's missing.

How it works

Every review, four steps.

The same list each year, tailored to each household.

  1. 1

    Pick the template

    One review list, every year.

Your annual workflow starts each client's request from your review template. Tailor any draft before it goes.

    Set up recurring document collection
  2. 2

    Send a private link

    Clients upload from their phone.

Your client opens the link on any device and uploads against each document. No account needed.

Copy or share the client link
  3. 3

    Let reminders follow up

Only what's missing, until it's in.

By default, reminders go out 3 and 7 days after you send the request and shortly before the due date, listing only what's outstanding.

    How automatic reminders work
  4. 4

    Review each file

Approve it, or ask for this year's.

Approve each document, or ask for a replacement with a note shown next to it. Earlier versions stay in the history.

Ask a client for a replacement file

Features

What gets the review file ready before the meeting.

A workflow for each review month

Pick Annually, a day and a month, and the clients you review that month. Each year it creates their requests at 08:00, as drafts or sent.

Review templates to tailor

Build your annual, retirement and life event lists once. Each request gets its own copy to change for that household.

Reminders until it's in

Reminders name only the documents still missing and stop once everything has arrived.

How automatic reminders work

Notes for what's changed

A new job, a marriage, a baby: your client tells you in a note from their upload page, with or without a file.

Read and reply to client notes

Replacements with a note

Last year's statement, one account of three, a missing page: ask again with a note shown next to that document.

Ask a client for a replacement file

A review year, start to finish

Once, set up a recurring workflow that runs Annually: choose the day and month, your annual review template, the reporting period Current year and the clients it covers. Set Due after (days) to leave time before the meetings.

On that day each year, at 08:00 in your workspace's time zone, it creates one request per client, titled like "Annual review 2027". New workflows save drafts for you to check and send. Send automatically asks you to confirm first.

As files arrive, reminders chase only what's missing. If a statement is last year's, ask for a replacement with a note.

When it's all in, approving the last document completes the request. Download the files for your client file. GarnerDocs deletes them after the retention period you choose.

Reviews spread over the year

An annual workflow runs on one day a year for all the clients it covers. If your reviews fall in different months, create one workflow for each review month, pick that month's clients under Specific clients, and run it a few weeks before their meetings:

Reviews in Workflow Runs on
March Annual reviews, March 1 February
June Annual reviews, June 1 May
October Annual reviews, October 1 September

Pick each client in only one workflow: a client in two gets a request from each. To move a household to another month, take them out of one workflow and add them to the other. If you review everyone in one season, one workflow for All active clients does it.

Accounts

  • Statements for every account

Retirement

  • Pension and retirement statements

Protection

  • Insurance policies

What's changed

  • Changes in income or family
Typical examples to tailor to each client

Changes in income or family can be a file, like a new offer letter, or a note your client writes from their upload page. If nothing has changed, a note says so, and you remove that document so reminders stop asking for it.

This isn't a list of what any regulator or custodian requires.

What GarnerDocs doesn't do

GarnerDocs does one job: getting documents from your clients to you, complete and checked. It isn't a CRM or a planning tool, and it doesn't connect to your CRM or your custodian. It doesn't book meetings, read figures from statements or give advice. Only your team can download the files: see the Security page.

Questions

How do I send each client's review request in their review month?

Create one annual workflow for each review month, and pick that month's clients under Specific clients. Each workflow runs once a year, on the day and month you choose.

Can I check the requests before clients get them?

Yes. New workflows save drafts, which appear on your Requests page to check, tailor and send. Choosing Send automatically asks you to confirm first.

What about a client who joins after this year's run?

Send their first review request yourself from the same template, and add them to the workflow's clients so next year's run includes them.

Does GarnerDocs read the figures or give advice?

No. GarnerDocs collects your clients' documents and your team reviews them. It doesn't read figures from statements, plan or advise.

  • For financial advisors

New-client onboarding packs and yearly reviews: send each client one list through a private link, schedule the annual request, and let reminders chase the statements they forget.
