For bookkeepers

The same documents every month, without the same chase.

Bank statements, receipts and invoices from every client, every month. GarnerDocs sends each client their list on schedule and reminds them about whatever is still missing.

Last updated

One request a month, on schedule

September's request went out on 1 October at 08:00. Reminders are following up on the last two documents.

Month-end shouldn't mean a month of chasing.

Bookkeeping runs on the same documents every month. Collected over email, you chase them every month too.

Receipts in every format

A photo of a receipt, a forwarded invoice, a statement replying to last month's thread. Before you reconcile, you're sorting attachments.

The same chase, every month

The same request on the 1st, the same follow-ups a week later, for every client. Then again next month.

A tracker that's never current

Which clients have sent September? A spreadsheet of months and ticks is out of date as soon as someone replies.

How it works

Four steps, every month.

Set it up once, then let each month run the same way.

  1. 1

    Pick a template

    Your monthly list, built once.

Start from your monthly bookkeeping template and tailor it to each client: add their second account, or remove payroll if they have no staff.

    Create a template
  2. 2

    Send a private link

    Clients upload from their phone.

Your client opens the link and adds files against each item, photos of receipts included. No account, and their progress is saved.

Copy or share the client link
  3. 3

    Let reminders follow up

Only what's missing, on a schedule.

By default, reminders go out 3 and 7 days after you send the request and again shortly before the due date. Each one lists only what's outstanding.

  4. 4

    Review each file

Approve it, or ask again with a note.

Approve files one at a time or several at once, or ask for a replacement with a note your client sees next to that item.

Features

Set it up once. It runs every month.

Recurring collection

A workflow creates each client's request from your template every month or quarter, then sends it or saves a draft for you to check.

Set up recurring document collection

A note on each document

Add a description to any item, like "Business account only". Your client sees it under that document's name.

Add, remove or rename requested documents

Reminders that stop

Reminders list only what's outstanding and stop once it arrives. Send one now, skip one or add a one-off message.

How automatic reminders work

Replacement requests

Wrong account, wrong month, half a receipt: ask for a replacement with a note, shown next to that item.

Ask a client for a replacement file

Approve several at once

The Documents page lists every file waiting for review, across clients. Tick the ones you've checked and approve them together.

Approve several files at once

Client notes

Nothing to send this month? Clients can say so in a note from their upload page. It shows on the request, and in your inbox if you like.

Read and reply to client notes

A link, not an account

Clients upload through a private link on any device: a PDF from their bank, or a photo of a receipt.

How client links are protected

ZIP download

Download a month's files as one ZIP, ready to post to the client's books.

Recurring requests, with you in control

A recurring workflow does the job you'd otherwise start on the 1st of every month. Choose a template, how often it runs, the day, and all your active clients or a list you pick. At 08:00 your time, each client gets one request for the period, such as "Monthly bookkeeping September 2026", and never two for the same period.

Nothing goes out without your say-so. New workflows save drafts for you to check and send. If you choose Send automatically instead, GarnerDocs asks you to confirm before it emails your clients on its own. You can pause a workflow at any time. See how to set up recurring collection.

What GarnerDocs doesn't do

GarnerDocs collects the files. You post them. It doesn't connect to bank feeds, Xero, QuickBooks or any other ledger, it doesn't read figures from receipts, and it doesn't reconcile anything.

When a month is done, download the files one at a time or as a ZIP and work from them as you do today. It isn't an archive either: files are kept for the retention period you choose, then deleted. Read how files and client links are protected on the Security page.

Questions

Can it send the request every month automatically?

Yes. An owner or admin sets up a recurring workflow once: a template, monthly, quarterly or annually, the day, and which clients. Each run creates every client's request at 08:00 your time, emailed to them or saved as a draft for you to send.

What if a client has nothing to send this month?

There's no "nothing this month" button on a document. Your client can tell you in a note from their upload page, for example "No card spending in September". You can then remove that document from this month's request, so reminders stop asking for it.

Which plan includes Workflows?

Every plan, including the free trial. Requests a workflow sends count towards your plan's active requests, like any others.

Can I check each month's requests before they go out?

Yes. With "Save as drafts", each run puts the requests on your Requests page to check, edit and send. Reminders start once you send them.

Some of my clients are monthly and some are quarterly. Is that a problem?

No. Set up one workflow for each, and pick the clients that belong to it.

  • Compare

    GarnerDocs vs email attachments

Email is free, and every client already knows how to attach a file. Here's what it costs you in chasing time and risk once you collect from more than a few clients.

Spend less time chasing. More time doing the work that matters.

Make document collection the easiest part of working with your clients.
