How automatic reminders work

The default schedule, what each reminder lists, and when reminders stop.

Last updated · Facts checked

GarnerDocs emails your client on a schedule until every document you asked for has been uploaded. Each reminder lists only what's still missing, and reminders stop once nothing is outstanding or the request is completed or cancelled.

The default schedule

Every workspace starts with:

  • Initial request: the email with your client's link, sent as soon as you select Send request.
  • First reminder: 3 days after sending.
  • Second reminder: 7 days after sending.
  • Final reminder: 3 days before the deadline.

Reminders go out at 10:00 in your workspace's time zone, which you set in Settings → Workspace. "After sending" counts from the day you sent the request.

An example

A request sent on 1 October, due on 15 October:

Email Goes out
Initial request 1 Oct, when you select Send request
First reminder 4 Oct at 10:00
Second reminder 8 Oct at 10:00
Final reminder 12 Oct at 10:00

What your client receives

A reminder is titled "A quick reminder about your documents". It lists the documents still to upload and has an Upload remaining documents button that opens their existing link. If they've already sent something, it thanks them first.

The final reminder is titled "Your documents are due on 15 October" and names the request and its due date.

A document counts as outstanding until your client uploads it, or while you've asked for a replacement. Files waiting for your review don't count.

When reminders stop

  • Everything is uploaded. With Stop reminders when documents are received on (the default), the request's remaining reminders are cancelled. A reminder is never sent when nothing is outstanding.
  • The request is completed or cancelled. No more reminders go out. See Complete or cancel a request.
  • Reminders are turned off for the request. Use the Automatic reminders switch when you create the request, or later in Edit details.
  • Reminders are paused for the workspace. Owners and admins can turn off Automatic reminders on the Reminders page. Turning it back on schedules the reminders still to come.

Good to know

  • A reminder counted from sending is left out if it would land after the due date. No automatic reminders go out once a request is overdue: use Send reminder on the request page.
  • Changing a request's due date reschedules its reminders still to come.
  • Turn off Remind clients only about outstanding documents to list the whole checklist in every reminder instead.
  • If a reminder came due while nothing was outstanding, the rest were cancelled. Asking for a replacement after that doesn't bring them back, so send a reminder yourself if you need to.
