Reminders

Send a reminder now or skip one

Send or skip scheduled reminders, and send a one-off reminder.

Last updated · Facts checked

On the Reminders page, select Send now to send a scheduled reminder straight away, or Skip to cancel just that one. To chase a client outside the schedule, select Send reminder on the request.

The upcoming reminders list

Upcoming reminders, at the bottom of the Reminders page, lists every automatic reminder still to go out on your active requests, soonest first. The line under the heading shows how many are scheduled and which one is next.

Each row shows the client, the request and its due date, which reminder it is (a Final reminder is marked in amber), when it's scheduled for, and how many documents are Still missing. Anyone on your team can send or skip a reminder.

Send a scheduled reminder now

  1. Find the reminder

Open Reminders in the sidebar and find the row under Upcoming reminders.

  2. Select Send now

The reminder goes to your client straight away. You'll see "Reminder sent to [client]".

It's the same email the schedule would have sent, so a Final reminder names the due date. It won't go out again at its scheduled time, and the rest of the schedule stays as it is.

If the request is no longer active or the client has no email address, you'll see "This reminder can no longer be sent."

Skip a reminder

Select Skip on the row. You'll see "Reminder to [client] skipped". Only that reminder is cancelled; the next one still goes out. A skipped reminder stays skipped even if you change the schedule or the due date, and there's no undo.

Send a one-off reminder

Select Send reminder at the top of the request page. It's also in each request's ⋯ menu on the Overview and Requests pages, and shows as Send reminder or Follow up next to overdue requests and requests waiting on the client.

Your client gets "A quick reminder about your documents", listing what's still outstanding, with the button to their link. One-off reminders don't change the automatic schedule.

There's no field for a personal message. To say something specific, email your client directly.

Good to know

  • You can send one one-off reminder per request per hour. Sooner, you'll see "A reminder was sent less than an hour ago. Try again later."
  • One-off reminders only work on active requests, and the client needs an email address. Add one by editing the client.
  • A one-off reminder is never the final reminder, even close to the due date.
  • To stop all reminders on one request, turn off Automatic reminders in Edit details.
