For agencies and freelancers

Client files in, so the project can start.

Agencies and freelancers: send each client one list of the files a project needs, through a private link, and let reminders chase the logo files, copy and photos that are still missing.

Last updated

The project waits on files the client hasn't sent.

The kickoff went well. Then the logo, copy and photos arrive in pieces, and the launch date slips.

Files scattered across threads

A logo in one email, copy pasted into another, photos behind a share link that has since expired.

Chasing instead of designing

You write the same polite nudge three times, and the design time you booked goes unused.

No clear view of what's in

Which client sent the brand guidelines? Which photos were the final ones? A sheet tries to keep up.

How it works

Four steps, for every project.

The same way of working for a website, a rebrand or a campaign.

  1. 1

    Pick a template

One list per kind of project.

Start from your website, brand refresh or campaign template, then add, remove or rename files for this client.

    Create a template
  2. 2

    Send a private link

    Clients upload without a login.

Your client opens the link on any device and uploads each file against its item. No account, and their progress is saved.

Copy or share the client link
  3. 3

    Let reminders follow up

Only what's missing, on a schedule.

By default, reminders go out 3 and 7 days after you send the request and shortly before the due date, listing only what's outstanding.

  4. 4

    Review each file

Approve it, or ask for a better version.

Approve each file, or ask for a replacement with a note your client sees next to that item. Earlier versions stay in the history.

Features

Everything a project needs to start. Nothing it doesn't.

A template for each kind of project

Build your website, brand refresh and campaign lists once, then start each client's request from the one that fits.

Create a template

A link, not another login

Clients open it on any device, upload each file against its item and come back later to finish. Their progress is saved.

Copy or share the client link

Say exactly which file you need

Add a description under each item, like "the full-size original, not a screenshot". Your client sees it next to that file.

Add, remove or rename requested documents

Reminders that stop

Reminders list only what's outstanding and stop once it arrives. Send one now, skip one or add a one-off message.

How automatic reminders work

Replacements with a note

A logo cut from a website, a blurry photo, last year's copy: ask for a replacement with a note shown next to that item.

Ask a client for a replacement file

Client notes

When a file isn't ready or doesn't exist, your client says so in a note from their upload page instead of going quiet.

Read and reply to client notes

Branded upload page

Growth and Pro

Your logo and accent colour on the upload page and in the emails your clients receive.

ZIP download for the project

Download a client's files as one ZIP for your project folder. GarnerDocs deletes them after your retention period.

Before the kickoff, not after it

In GarnerDocs, each client is added as a client: a business or a person, with a name and an email address. Send a request for each project once it's signed, due a few days before design starts. A client with two projects gets two requests.

Your templates are typical examples to tailor to each project, not a list of what every client has to send.

Files and notes, nothing more

GarnerDocs collects files. Your client uploads each one against its item and can add a note. There are no questionnaires, page-by-page content forms or rich text fields. If your process depends on clients writing copy into a structured form, a tool built for content forms is a better fit. If a Word document per page works for you, GarnerDocs does the job.

Logins belong in a password manager

Never ask clients to send passwords or logins through GarnerDocs, in a file or in a note. Use a password manager that lets your client share access with you securely, and keep GarnerDocs for files.

Keeping client files private

Files are stored privately with encryption. Only your team can download them, through a link that expires shortly after. Each upload link ends in a long random code that GarnerDocs doesn't keep in readable form, and you can reset a link so the old one stops working. Files are deleted after the retention period your team chooses, and personal data isn't sold or used to train AI models. The Security page has the details.

What GarnerDocs doesn't do

GarnerDocs does one job: getting files from your clients to you, complete and checked. It isn't project management software and it doesn't connect to yours, or to Dropbox or Google Drive. It has no e-signatures or client payments. Each file can be up to 25 MB, so large video belongs in a file transfer service. Download what arrives into your own project folder.

Questions

Do clients need to create an account?

No. Clients open the private link you send them and upload directly. There's no registration and no password to remember.

Which file types can clients upload?

PDF, JPG, PNG and ZIP by default, plus HEIC, DOCX, XLSX or CSV if you turn them on for an item. Clients can add several files to one item, up to 25 MB each. Send AI, EPS or PSD files inside a ZIP.

Can clients fill in a questionnaire or write copy into a form?

No. Clients upload files and can add a note of up to 2,000 characters. There are no form fields or questionnaires, so ask for copy as a Word document or PDF.

Can clients send us their website or social media logins?

Please don't ask them to. GarnerDocs is for files, not passwords. Use a password manager that lets your client share logins securely.

How long are files kept?

For the retention period your team chooses: 30, 90, 180 or 365 days after a request is completed. Then they're deleted, and the workspace owner is emailed 14 and 3 days before. Download what you need to keep into your own project folder first.
