Photos across five emails
Clients send damage photos from their phone, a declarations page as a screenshot and receipts in reply to an old thread.
For insurance agents and brokers
New-business quotes, yearly renewals and claims: send each client one list through a private link, schedule renewal requests, and let reminders chase what they forget.
Last updated
A quote needs the current declarations, a renewal this year's changes and a claim photos and receipts. All of it comes from the client.

The carrier won't quote without the signed application or updated values. You chase by email, then by phone, as the renewal date gets closer.
Quotes, renewals and open claims, tracked by hand in a sheet that's always a week behind.
How it works
The same way of working for new quotes, renewals and claims.
Pick a template
Start from your new-business, renewal or claim template, then add, remove or rename documents for this client.
Create a templateSend a private link
Your client opens the link on any device and uploads each document against its item. No account, and their progress is saved.
Copy or share the client linkLet reminders follow up
By default, reminders go out 3 and 7 days after you send the request and shortly before the due date, listing only what's outstanding.
How automatic reminders workReview each file
Approve each document, or ask for a replacement with a note your client sees next to that item. Earlier versions stay in the history.

Features
Build your quote, renewal and claim lists once, then start each request from the one that fits.
Create a templatePick a day, a month and the clients who renew then. Each year it creates their requests at 08:00, as drafts to check, or sent once you've confirmed you want that.
Set up recurring document collectionEach document shows your client the file types it takes and its size limit. Tick HEIC for iPhone photos.

Add your logo and brand colourDownload a client's documents as one ZIP for your agency management system. GarnerDocs deletes them after your retention period.
Download all files as a ZIPSend a quote or claim request when you need the documents, due ahead of your own deadline. For renewals, set up a recurring workflow that runs Annually: choose the day and month, your renewal template and the clients who renew then. Policies renew all year, so create one workflow for each renewal month.
Your templates are typical examples to tailor to each client, not a list of what any carrier requires.
Damage photos upload like any other file. Each document takes the file types you tick: a new document accepts PDF, JPG, PNG and ZIP, and you can add HEIC (the format many iPhones save photos in), XLSX, CSV or DOCX. Every file can be up to 25 MB, and clients can choose several at once. Video files aren't accepted, so ask for photos.
Files are stored privately with encryption. Only your team can download them, after a permission check, through a link that expires shortly after. Everything runs over HTTPS. Each client link ends in a long random code that GarnerDocs doesn't keep in readable form, and you can reset a link so the old one stops working. Files are deleted after the retention period your firm chooses, and client data isn't sold or used to train AI models. The Security page has the details.
GarnerDocs doesn't claim to meet any state insurance regulator's or carrier's requirements. Confirm the measures above against your own obligations.
GarnerDocs does one job: getting documents from your clients to you, complete and checked. It isn't an agency management system, and it doesn't connect to yours, to carrier portals or to any rating tool. It doesn't quote, bind or issue policies, and it doesn't handle claims, assess damage or decide what's covered. Your clients get a link and a list. The files go into the system you already use.
No. Clients open the private link you send them and upload directly. There's no registration and no password to remember.
Yes. Photos upload like any other file, several at once, up to 25 MB each. Tick HEIC on the document for photos in the iPhone format.
Set up a recurring workflow that runs Annually, on the day and month you choose, for the clients you pick. Policies renew all year, so create one workflow for each renewal month. Reminders follow up once the requests are sent.
No. GarnerDocs collects your clients' documents and your team reviews them. It doesn't quote or bind policies, or file claims with a carrier.
For the retention period your firm chooses: 30, 90, 180 or 365 days after a request is completed. Then they're deleted, and the workspace owner is emailed 14 and 3 days before. Download what you need to keep into your own records first.
Use case
For insurance agents and brokers: send each policyholder one list when they report a claim, and let reminders chase what's missing.
Use case
For law firms, lenders, financial advisors, insurance brokers and accounting firms that need ID before work starts: send each client one checklist, ask for a clearer copy when an ID is blurred or cropped, and let reminders chase the rest.
